How can my clients or internal team view LiveFlow reports?

Method 1: Add them as a Viewer in LiveFlow (recommended)

Benefits of this method:

Viewers can open and refresh the reports you've built, so they always see current figures without being able to change anything. They cannot create or manage reports, or connect companies.

Here's how to add a viewer in LiveFlow:

  1. Open the LiveFlow web app at app.liveflow.com

  2. Go to Settings, then the Team tab.

  3. Enter the email address of the person you want to invite.

  4. Set their access level to Viewer.

  5. Click Add Member. They'll receive an email invitation.

  6. Also share the underlying spreadsheet with them. A LiveFlow Viewer seat alone doesn't grant access to your Google Sheet or Excel file - you need to share both.

Method 2: Share the spreadsheet directly

Your client sees your live reports without needing a LiveFlow account at all. They just need access to the file.

Anyone with the file open will see the figures from the last refresh. They cannot refresh it themselves without a LiveFlow seat.

Here's how to invite someone to a Google Sheet:

  1. Click on Share in the top right of your Google Sheet

  2. Type in the email address of the client

  3. Select the access level you want to provide (Viewer, Commenter, or Editor).

  4. Click Send

Excel — share the workbook through OneDrive or SharePoint as you would any other file, or send a copy. Note that a static copy won't refresh; only a shared live file stays current.

Method 3: Protect sheets and ranges

This allows you to prevent unintentional edits and unintentional changes by those who have access to your Google Sheet.

  • This option is useful if your client, department head, or other individual needs access to a certain portion of a spreadsheet to collaborate, but doesn't need access to all tabs or cells.

  • Think of Protected Sheets and Ranges as a child-lock to formulas you don't want being altered or for certain tabs that have no use to your spreadsheet collaborator.

Method 4: Publish to Web

This option allows you to send a new URL to a client or stakeholder, and allows them to see specific or all of the contents of your spreadsheet - without being able to edit it.

  • This option is useful if you want to turn your spreadsheet into a live dashboard with only the metrics that matter to your client

If your client can't see the report

  • Check you've shared the spreadsheet as well as adding them in LiveFlow. These are two separate permissions.

  • Check the invitation email arrived. Ask them to look in spam and junk. If nothing arrives at all, their mail server may be rejecting it - contact us and we'll check the delivery status.

  • Check their access level. A Viewer who needs to build reports will need Editor instead.
